1. Fee Structure

Companion Fee Table

How Fees Are Calculated

  • The Companion fee is calculated as a percentage of the total cost of all flights the Companion is required to take.

  • This includes long‑haul flights, connecting flights, transit segments, and any stopovers that form part of the booked itinerary.

  • If the Companion accompanies the Traveller on both the outbound and return journeys, all flight segments in both directions are included in the calculation.

Service Fee Application

  • The fixed service fee of $195 + GST applies per direction of travel.

  • One service fee applies to the outbound journey, covering all flights and connections.

  • A second service fee applies to the return journey, covering all flights and connections.

  • If the Companion accompanies the Traveller both ways, the service fee is charged twice.

Outbound + Return Journeys

For bookings that include both outbound and return flights:

  • The notice period used to calculate the Companion fee is based on the first flight of the outbound journey.

  • If the return journey qualifies for a better rate due to longer notice, Flight Companions Limited may apply that discount at its discretion.

  • This is more likely when a different Companion is sourced for the return leg.

2. Payment Terms

All fees are invoiced and must be paid before any flight bookings are made.

Funds are held by Flight Companions Limited until the journey is completed.

If the actual flight cost differs from the amount paid, any shortfall must be settled immediately. Refunds for overpayment will be processed once bank details are confirmed.

The Companion fee (minus a small service fee) is released within 24 hours of flight completion.

If a dispute arises between the Traveller and Companion, the Companion’s fee may be withheld until the Company Director determines whether a refund or partial payment is appropriate.

Flight Companions Limited will not retain disputed funds, except for the booking fee.

3. Cancellation Policy

Cancellations made 30+ days before travel may be eligible for partial reimbursement, depending on the Companion’s circumstances and any financial loss incurred.

Cancellations made with less than 30 days’ notice are not eligible for reimbursement.

A deposit or booking fee may be required to secure a Companion.

4. Traveller Responsibilities

Travellers agree to:

  • Arrive at the airport on time for check‑in and boarding

  • Ensure luggage complies with airline rules and weight limits

  • Provide accurate and complete travel documentation (passport, visas, medical notes if required)

  • Arrange appropriate travel insurance

  • Treat the Companion with politeness and respect

  • Seek agreement in advance for any special services or additional assistance

Travellers are responsible for their own belongings and conduct.

5. Companion Responsibilities

Companions will:

  • Assist with check‑in, luggage, customs, security, and boarding

  • Provide support during the flight, including seating, comfort, meals, and accessibility needs

  • Assist with disembarkation, luggage, and arrival processes

  • Respond to reasonable requests at their discretion

  • Cover their own meals, refreshments, and incidental expenses

6. Limitations & Liability

Companions are not liable for illegal acts or behaviour that causes concern to airport staff or security.

Flight Companions Limited is not responsible for disruptions caused by third parties, including airline delays, government restrictions, natural disasters, or other unforeseen events.

Assistance during unexpected events is at the Companion’s discretion.

7. Dispute Resolution

Any concerns should be raised in writing as soon as possible.

We will work with both Traveller and Companion to resolve matters fairly and promptly.

If a dispute arises between a client and Flight Companions Limited, we will make every effort to resolve the matter collaboratively, respectfully, and in good faith.
